VANAMAI (âweâ, âusâ, âourâ) operates an online marketplace at www.vanamai.com that connects consumers with brands and sellers offering sustainable, ecoâfriendly products (the âPlatformâ). This Privacy Policy explains how we collect, use, share and protect your personal information as a consumer on our Platform, in compliance with applicable Indian laws, including the Digital Personal Data Protection Act, 2023.
By using the Platform, you consent to the practices described in this Privacy Policy.

2. What data do we collectÂ
We collect the following personal data from consumers
- Identity: name, title.
- Contact: email, mobile number, billing and shipping addresses.
- Account: username, hashed password, preferences (e.g., product categories, sustainability interests, notification choices)
- Transaction: orders, cart contents, wishlists, invoices, applied coupons, refunds and returns.
- Payment: payment method type, masked card or UPI details as provided by payment gateway (we do not store full card/UPI details).
- Sustainabilityârelated preferences: interest in plasticâfree, vegan, organic, refills, local artisans, etc., to show relevant options.
- Cookies and trackers: identifiers used to keep you logged in, remember choices and measure performance.
- Communications: emails, chats, calls with our support or inâapp messaging for order issues, reviews and feedback.
3. How and why we use your data
We use your data for the following  marketplace purposes:
- Account and access: create and manage your consumer account, login and authentication.
- Orders and delivery: process orders, enable payments, coordinate delivery/returns/ refunds for  products.
- Sustainable experience: show relevant ecoâfriendly products, curated collections, and impact badges (e.g., plasticâfree, carbonâconscious) based on your interests and behaviour.
- Communications: send order updates, support responses, policy changes, and where permitted, offers, newsletters and sustainability tips.
- Safety, fraud and compliance: detect suspicious activity, abuse, fake reviews, policy violations, and comply with legal and tax obligations (including invoices and records).
- Analytics and improvement: understand how users interact with sustainable categories, test new features, and improve usability and performance.

In addition to acting as an intermediary between independent sellers and consumers, Vanamai also offers its own privateâlabel brands and products on the Platform (âOur Brandsâ). When you purchase products from Our Brands, we act both as the platform operator and as the seller of those specific products.
The categories of personal data we collect (such as your name, contact details, delivery address, paymentârelated information and order history) remain the same whether you buy from independent sellers or from Our Brands. However, where we act as the seller, we may use this information to:
- Process and fulfil your orders for Our Brands, including delivery, returns and customer support.
- Analyse demand, quality issues and product feedback to improve Our Brandsâ assortment and sustainability performance.
- Develop new products and offers under Our Brands, including sustainable lines tailored to consumer needs.
We do not share identifiable orderâlevel data relating to Our Brands with competing thirdâparty sellers, and we do not allow any seller to access your personal data beyond what is strictly necessary to fulfil that sellerâs orders. Internally, we maintain appropriate access controls and governance so that teams managing marketplace operations and those managing Our Brands use consumer data only for authorised purposes in line with this Privacy Policy and applicable law.
Where required by DPDPA, we rely on your consent (for example, for marketing communications and some types of profiling), and you may withdraw such consent at any time.
4. Cookies and similar technologies
We use cookies, pixels and similar technologies to:
- Keep you signed in and remember your language, location and sustainability filters.
- Measure traffic, conversions and performance of product listings and campaigns.
- Support ecoâimpact features such as tracking repeat purchases of reusables.
You can manage cookies via your browser/device settings, though some features may not work correctly if you disable certain cookies.
5. How we share your data in the marketplace
We do not sell your personal data. We share it only as needed to run the marketplace:
- With sellers/brands: limited details like your name, contact number and shipping address, strictly to fulfil your orders and handle returns.
- With service providers: payment gateways, banks, logistics and delivery partners, cloud hosting, analytics and communication tools, all bound by contractual dataâprotection obligations.
- With authorities: when legally required or to enforce our rights, prevent fraud or protect users.
- Business transfers: in case of merger, acquisition or restructuring, subject to continued protection of your data.
6. International transfers (if any)
If our service providers store or process data outside India, we ensure that such transfers comply with Indian law and that appropriate safeguards are in place.
